7. Academics

Academic setup provides the structure used by classes, subjects, timetable, attendance and examinations.

Academic Year ├── Terms / Semesters ├── Classes │ └── Sections ├── Subjects ├── Teachers └── Timetable

8. Timetable

The Timetable module manages class, teacher and room schedules. It supports drag-and-drop scheduling, automatic generation, clash detection, and controlled publishing.

Set up periods

Periods are the time slots that apply to every class — typically a 9-period school day (Period 1–7 plus Break and Lunch). The first time you view the timetable, default periods are automatically created.

  1. Open Academics → Timetable.
  2. Click Periods in the More Actions menu.
  3. Review or edit the default periods: name, start/end time, and kind (Lesson, Break, Lunch, Assembly, Free Period, Other).
  4. Reorder periods by dragging or using the reorder dialog.
  5. Delete a period only if no lessons use it (deleting removes that slot from every class).

Set up rooms

Rooms are teaching spaces that can be assigned to lessons (optional — rooms are never auto-assigned during generation).

  1. Click More Actions → Rooms (if the menu item is available).
  2. Add rooms with a name and optional building/capacity.
  3. Note: The ported timetable interface does not yet expose room management. Rooms can be created via the REST API.

Configure settings

  1. Click More Actions → Timetable Settings.
  2. Select school days (Monday–Friday is typical; check all that apply).
  3. Set day start and end time (e.g. 07:30–16:00).
  4. Set default period duration in minutes (e.g. 60).
  5. Optionally set an "Effective From" date for printing.
  6. Save settings.

Create or edit a lesson (slot)

  1. Select the Class Timetable tab and choose a class.
  2. Click any empty cell (day + period) to add a lesson.
  3. Select the subject (required for lessons).
  4. Select a teacher (optional).
  5. Select a room (optional).
  6. Save. Any clashes (teacher/room already booked at that time) are shown as warnings, not errors.
  7. Existing lessons can be edited the same way or dragged to a new time slot.

Drag and drop

Click and drag any lesson card to move it to another day/period. Clashes are detected and shown before the move completes. If a cell is already occupied, the lesson is replaced.

Generate a timetable automatically

Auto-generation creates lessons based on subject requirements and teacher availability, using a greedy first-fit algorithm.

  1. Click Generate Timetable (sparkle icon).
  2. Select the class to generate for.
  3. For each subject, specify:
    • Periods per week (e.g. 3 for maths).
    • Teacher (optional pin; if blank, any available teacher is used).
  4. Check Preserve existing if you want to keep already-placed lessons and fill around them. Uncheck to replace all lessons for that class/term.
  5. Click Generate.
  6. Review the result. Any subjects that could not be fully placed are listed as "Unplaced" — add them manually or generate again.

Copy a day or whole timetable

  1. Click More Actions → Copy a Day to duplicate all lessons from one weekday to another (same class, useful for identical days).
  2. Click More Actions → Copy Timetable to copy a whole class's or term's timetable to another class or term.
  3. Choose Overwrite if the destination already has lessons (otherwise unscheduled cells are left empty).

Check for clashes

  1. Click Quick Actions → View Clash Report.
  2. The report shows every teacher and room that is double-booked across the whole school.
  3. Clashes are warnings; they do not prevent adding a lesson, but they may block publishing (see below).

Publish or archive a timetable

Publishing marks a class's timetable as final. Viewers without edit permission see only published timetables.

  1. Click More Actions → Publish.
  2. Select the status: Published, Draft, or Archived.
  3. If publishing and there are unresolved clashes, you can either:
    • Review the clash report, fix the clashes, and try again.
    • Check Force Publish to publish anyway and accept the clashes.
  4. Optionally set an Effective From date (printed on the timetable).
  5. Click Publish.

Notify teachers

  1. Click Quick Actions → Send to Teachers (or auto-triggered after publishing).
  2. Teachers with lessons on the published timetable receive an in-app notification.
  3. Teachers without a login account are counted but not notified.

View timetables

Three tabs let you view the same data from different perspectives:

  • Class Timetable (default) — shows all lessons for one class, editable.
  • Teacher Timetable — read-only view of all lessons taught by one teacher.
  • Room Timetable — read-only view of all lessons in one room.

All views filter by academic year, term, and published status (viewers without edit permission see published lessons only).

Print or download

  • Click Print Timetable to open your browser's print dialog (CSS formatting hides navigation, periods sidebar, and dialogs).
  • Click More Actions → Download Timetable (PDF) to save the same view as a PDF.
Before publishing: Review the clash report. Clashes between different classes (a common classroom being booked twice) must be resolved before publishing if you want a clean, conflict-free schedule.
